This Privacy Policy explains how we collect, use, disclose, and protect personal information when you visit palemia.com, use our services, or communicate with us or the AI assistants we operate on behalf of our clients. It applies to information we collect about website visitors, prospective customers, and end users whose details are processed on behalf of our business customers.
1. Who We Are
Palemia AI Technologies LLC operates the website palemia.com and related services. You can reach us at support@palemia.ai or 1 (833) 588-4032. Our business address is 612 Ringtail Court, Chesapeake, VA 23323.
2. Information We Collect
We collect information you give us and information collected automatically:
- Contact details you submit, such as your name, email address, phone number, business name, and any message or details you include in a form, chat, call, or text.
- Business information such as company name, industry, and service needs, when you request a demo or become a customer.
- Communications with us or with AI assistants we operate, including call recordings or transcripts where applicable and permitted.
- Usage data collected automatically, such as pages visited, referring source, browser type, device details, and approximate location derived from IP address.
- Customer data our business customers submit or configure through the services, which we process on their behalf as a service provider.
3. How We Use Information
We use the information we collect to:
- Respond to inquiries and demo requests, and provide requested services.
- Operate, maintain, and improve our website, AI assistants, and automation services.
- Communicate with you by email, text (SMS/MMS), or phone, as described in Section 4.
- Monitor, secure, and troubleshoot our systems, and prevent fraud or abuse.
- Comply with legal obligations and enforce our agreements.
4. SMS Communications and Consent
We use text messages (SMS/MMS) to communicate with you. The messages we send fall into two separate categories, and we treat your consent to each category separately:
4.1 Non-Marketing Communications
Non-marketing text messages are messages related to a service, appointment, or request you initiated, for example, appointment confirmations, appointment reminders, and service updates. We send these messages only when you have given us a phone number in connection with a request or booking, and where you have indicated consent to receive non-marketing messages.
Message frequency varies based on your requests and appointments. Message and data rates may apply. Reply HELP for help or STOP to opt out. Consent to receive non-marketing text messages is not required as a condition of purchasing any property, goods, or services.
4.2 Marketing Communications
Marketing text messages are promotional in nature, for example, promotional offers, service announcements, and special offers. We send marketing text messages only where you have given express written consent, such as by checking the separate marketing consent box on our forms. Marketing consent is never bundled with, or implied by, consent to non-marketing messages or any other interaction.
Message frequency varies. Message and data rates may apply. Reply HELP for help or STOP to opt out. Consent to receive marketing text messages is not required as a condition of purchasing any property, goods, or services, and you may withdraw consent at any time.
4.3 How We Record Consent
We record the fact, source, and date/time of each SMS consent separately for non-marketing and marketing messages, and we honor opt-out requests promptly. We do not send marketing text messages without express written consent on file.
4.4 Opting Out and Getting Help
Reply STOP to any text message from us to stop receiving that category of messages. Reply HELP for help, or contact us at support@palemia.ai or 1 (833) 588-4032. Opt-out requests are honored promptly and apply to the category of messages you opt out of; replying STOP to a marketing message opts you out of marketing messages, and replying STOP to a non-marketing message opts you out of non-marketing messages. Carriers are not liable for delayed or undelivered messages.
4.5 Mobile Information Sharing Restrictions
We will not share, sell, or disclose mobile opt-in information, consent records, or phone numbers collected through our forms or text communications with third parties or affiliates for marketing purposes. Mobile opt-in data and consent information are shared only with the service providers we use to send and receive messages (such as our messaging platform and carriers), bound by contract to process them solely on our behalf and solely for the purpose of delivering the communications you consented to. We do not transfer mobile opt-in consent to any third party for that party's own use.
5. Phone Calls and AI Assistants
When you contact us, request a demo, or interact with an AI assistant operated by Palemia or on behalf of our customers, your call may be handled by an AI receptionist and, where applicable and permitted, recorded or transcribed. We use these communications to respond to inquiries, book and confirm appointments, send reminders, and follow up on requests.
6. Sharing of Information
We do not sell your personal information. We do not share personal information with third parties for their own marketing purposes. We share information only with:
- Service providers who process data on our behalf, such as hosting, communications, AI, and payment providers, bound by contracts to use it only for our services.
- Business customers, when we process communications or data on their behalf, for example messages with an AI assistant they operate.
- Professional advisers, when needed for legal compliance, disputes, or protecting rights, property, or safety.
- Authorities, when required by law, legal process, or to protect the rights, property, or safety of Palemia, our customers, or others.
- A successor entity, in connection with a merger, acquisition, or sale of assets, subject to this policy.
See Section 4.5 for the specific restrictions that apply to mobile opt-in information and consent records.
7. Cookies and Tracking Technologies
We use cookies and similar technologies to operate the site, remember preferences, and understand how visitors use palemia.com. You can control cookies through your browser settings; disabling them may affect parts of the site. We do not respond to browser-level Do Not Track signals, because no common standard exists.
8. Data Retention
We keep personal information only as long as needed for the purposes in this policy, to comply with legal, accounting, or reporting requirements, and to resolve disputes. Retention periods vary by data type: form submissions and communications are kept while the related relationship is active and for a reasonable period after, consent records are kept for as long as we send the related communications and for a reasonable period after to evidence consent, and usage data is kept in aggregated or shorter-lived form.
9. Your Choices and Rights
Depending on your location, you may have rights to access, correct, or delete your personal information, object to or restrict certain processing, or opt out of marketing communications. To exercise a right, email support@palemia.ai. We will verify your request and respond within the time required by applicable law. You can also opt out of text messages by replying STOP.
